Five Steps to Master Writing Process

Today, it has become extremely important to sharpen your writing skills. Even if your work requires formal and business writing, such as report writing, refining necessary writing skills is essential for improved performance. There is no alternative in the modern professional world for the written word. 

Creative writing tools help the individual express their thoughts in a better way. Sometimes, an organization may call for documentation in creative ways. Marketing and sales documents need to be processed in a creative way as opposed to, a matter of fact, dry method. Following five steps for writing will give any individual the ability to write documents that will appeal to everyone in and outside the organization. 

  • Read

To be a decent writer, you have to be a good reader first. Things that you read give you ideas about plot, storylines, narration, structure and editing. Reading books and written words by great writers will give you a professional, intelligent edge. Reading also helps increase personal vocabulary. ’ It also gives you an idea about what constitutes good or bad writing.  

Some people get their best ideas while reading.  It’s important to write these down before you forget. Carrying a small pocket notebook and making short notes will help you remember all your great ideas. 

  • Write

At its core, writing is one of the most straightforward types of communication like speaking or listening. Start a conversation with the reader. There is no need to impress them with fancy, difficult words and long, complex sentences. A person should narrate an honest tale, which they feel passionate about. As long as you feel strongly about the content of the document, your reader will too. To break the ice, you may talk about simple ideas and real-life situations. 

You can even include a surprising element that compels readers to ask ‘what if?’ For example: A woman goes into a deserted mall – what if she is not actually alone? What if she is looking for her missing child? What if there has been a natural disaster? Play around with the thought that feels interesting to you and start writing.

  • Evaluate

You should reread your own material as if it was written by someone else. Revisit each page, chapter or paragraph and give it an impartial read. If it feels readable and strong, continue. If it does not, you always have the option to make changes. It is also important to proofread the document thoroughly before you show it to someone else. 

Even if the piece is crisp and well-written,, it will not be received well if it is not neatly proofread. You can use softwares like MS Word grammar and spell check and Grammarly for early drafts. 

  • Revise

After the self-evaluation of your writing, you can revise or rewrite parts of the document if necessary. You can start reworking the document after the writing is complete, or by chapter or section as you write. After the revision, make sure that you proofread the document. Make notes while evaluating the document because it will come in handy when revising the content.

  • Share & Edit

Share the final draft with your friends or colleagues. Ask them what they feel about it. Discuss ideas, points, and scope for improvement. Constructive criticism is the only way to condition your inner writer. After finalizing the draft, you will need to edit it. You should edit the document impartially to achieve optimum efficiency. Remove unnecessary content, redundant lines and unnecessary figures and data. If you need, don’t hesitate to seek professional help while editing the final draft.
